We are grant-funded by the Quadrature Climate Foundation, Google.org, Sequoia Climate Foundation, Bloomberg Philanthropies, European Climate Foundation, among others. About the Role
The TransitionZero Operations Manager will work across People, Finance and Office support to keep the engine room of our company running smoothly. We’re looking for someone who thrives in a multifaceted role, enjoys problem-solving, and is passionate about creating a positive and productive work environment. You'll report directly to our Head of People and play a vital role in supporting our company's growth and success.
Responsibilities
People (est 50% of role)
Work with our Head of People and Senior Talent Acquisition Manager to deliver a high quality employee experience and onboarding process. This includes:
Overseeing new employee orientations
Ensuring they have appropriate systems access
Making sure probation milestones are delivered
Administer documentation relating to employment, including drafting offer letters and contracts, checking new employees’ ID and right to work status and other relevant onboarding and offboarding documentation.
Become the subject matter expert for our HRIS (Personio), ensuring all data is kept up to date and we are using the system to its full potential.
Assist with payroll processing and benefits administration, working closely with the Finance team.
Finance (est. 30% of role)
Handle routine payments processes, including topping up our current accounts
Oversee our database of vendors, ensuring vendor-owners are maintaining the vendor information and owning some Ops vendors directly (e.g. our travel broker).
Support reconciliation of bank transactions by collecting and organising receipts/invoices, following up for missing documentation, and ensuring proper record-keeping.
Office (est. 10% of role)
General office management, including liaising with Sustainable Ventures (our office management company) to deliver decorative and functional upgrades. Expect to occasionally wield a screwdriver!
Assist with planning and coordinating twice yearly offsites, including developing activities on relevant topics, coordinating travel and accommodation. Coordinate other ad hoc social events throughout the year.
Coordinated our company-wide meetings (weekly) to ensure the Tech works, the agenda is well organised and speakers and presenters are primed.
Manage our office space to ensure desks are booked we proactively manage budget for meeting room bookings
Cross functional (10%)
Contribute to internal communications by taking charge of the monthly Operations newsletter, and maintaining our Notion homepage.
Manage the Operations Helpdesk - a Slack-based ticketing system, triaging the requests that come through and dealing with those you can yourself.
Skills & Experience
The minimum qualifications and experience for this role include, but are not limited to:
Required
Minimum two years experience working in an Operations role, with exposure to People, Finance, and/or office management functions.
Excellent organisational and time-management skills, with the ability to prioritise and manage multiple tasks effectively.
Strong attention to detail and a high degree of accuracy.
Process-minded, with a proven ability to identify inefficiencies and propose solutions.
Able to make reliable judgement calls and excellent common sense!
Have experience working on Operations systems, able to troubleshoot issues.
Familiar with the importance of data analytics.
Beneficial
CIPD Level 3 or equivalent professional training for HR/ Operations
Undergraduate Degree in any subject
Experience working with Google Business Suite
Experience administrating an internal HR platform
